What to include in a product spec sheet
Identity
Product name, brand, supplier, and SKU. This is the set a supplier needs to confirm they are quoting the exact item you specified.
Description
One or two lines a client would recognise. Enough to tell this piece apart from a similar one without opening the source page.
Materials and finish
Materials, finish, and colour decide both the look and the maintenance. They are the fields a client questions most, so make them precise.
Dimensions and weight
Width, depth, height, plus the functional dimension for the item type, such as seat height. Weight matters for delivery and floor loading.
Price, quantity, and lead time
Unit price, currency, quantity, and lead time. Capture lead time at specification, because it is the most common cause of a late install.
Warranty, care, and compliance
Warranty, care instructions, and any certification or contract-grade rating. These protect the client and, on commercial work, the sign-off.

How to use the spec sheet
One sheet per product
Keep a spec sheet to a single item so it can be sent, approved, and filed on its own. Duplicate the file for each product on the project.
Fill what you have, leave the rest blank
Leave unknown fields empty rather than deleting rows, so every sheet keeps the same shape and is quick to scan.
Compare options side by side
To weigh two products, keep the Field column and add a Value column for each. The differences line up row by row.
Send it as a PDF
For client approval or a contractor handover, export the sheet to PDF so the layout holds on any device.
