What to include in an FF&E schedule
Room and Item number
Groups the schedule the way a site walk-through happens, and gives every line a reference to quote in emails and on drawings.
Product name, Brand, Supplier, SKU
The identifying set. SKU and supplier are what a procurement team needs to actually place the order.
Category and Colour or finish
Lets you filter the schedule by trade package and check a palette across rooms.
Dimensions and Weight
Length, width, height, and weight decide whether a piece fits the space, the lift, and the floor loading.
Quantity, Unit price, Line total
The budget spine of the schedule. Line total is quantity times unit price, and the column that clients read first.
Lead time and Availability
The most common cause of a late install. Capture it at specification, not at order.
Source URL
The fastest way to re-check a price or stock level months later, and the column most schedules forget.
Status and Notes
Tracks each item from proposed to delivered, and holds the client decision that explains the choice.
How to keep the schedule accurate
Group by room, then number every item
Work room by room and give each item a sequential number. A stable reference makes client conversations and site queries far quicker.
Capture the source as you specify
Paste the product URL into the row the moment you choose it. Rebuilding sources at the end of a project is the slowest part of the job.
Keep one currency per schedule
Mixing currencies in one total is where budgets drift. If you must mix, add a converted total column and note the rate and date.
Review lead times before you present
Sort by lead time before a client meeting. Anything long enough to threaten the install date should be flagged in the same conversation as the price.
