Claude prompts for your product library

Short answer: Once Aalto is connected to Claude on Pro, you can ask it to find products in your library, save new ones from supplier links, organise collections, update status and export FF&E schedules. Copy the prompts below, swap in your own project and room names, and Claude works with the products you've already saved.

The prompts are written for Claude. They work the same way in ChatGPT and the other apps listed on the connect page.

Before you start

• You need Aalto Pro. AI connections are part of Pro, at US$19 per member per month. The free plan does not include them. See pricing.
• Your admin sets the access level. In Settings, then MCP, a workspace admin chooses Off, Read only, or Read and change.
  • Read only: Claude can search, read and export.
  • Read and change: Claude can also save, create and edit products, organise collections and import spreadsheets and photos.
• Each recipe below says which level it needs.

Find products

1. Search your library in plain words

Needs: Read only

Find warm oak dining chairs in my library under 1,500.

Claude searches by meaning, not only exact words, so "warm oak" also finds products described as natural or honey oak. The price limit compares the number Aalto recorded for each product and ignores currency, so "under 1,500" matches both £1,250 and A$1,250.

2. Find something like a piece you've used before

Needs: Read only

Show me products in my library similar to the Osa Dining Chair.

Useful when a piece is discontinued or over budget and you want options you have already vetted.

3. Check what's already in a project

Needs: Read only

What's in the Smith Residence collection? Group it by section and tell me how many products are saved, shortlisted and ordered.

Aalto reads each page and fills in the name, brand, price and images where the page provides them. If a product takes a moment, Claude tells you and checks again. Each new link uses one AI product import. Pro includes 150 a month per workspace, and a link that's already in your workspace uses none. Aalto works with most supplier sites, so check any product that comes back with gaps.

5. Turn a list into products

Needs: Read and change

Here's my lighting list for the Main Bedroom. Add each one to a new collection called Main Bedroom.[paste names, brands, links, prices and quantities]

Claude creates the products from what you paste. A line with a name keeps only the details you paste. To have Aalto fill in the details, paste the link on its own.

6. Bring in a spreadsheet

Needs: Read and change

Import this spreadsheet into a new collection called Hotel Lobby.[attach your CSV]

Claude shows you a preview first: how your columns map to Aalto fields, any duplicates and any errors. Nothing is written until you say yes. Imported rows go into the collection you choose.

7. Set up a project with sections

Create a collection called Harbour Apartment with sections for Living Room, Kitchen, Main Bedroom and Bathroom.

8. Move and tag products in bulk

Needs: Read and change

List the pendant lights in my Library with "brass" in the name. Once I've checked the list, add them to the Harbour Apartment Kitchen section and tag them "lighting".

Products stay in your Library as well, because everything you save lives there. Search works by meaning, so check the list before you say yes. Tags come back as a preview, but adding products to a section happens straight away, with no preview.

9. Update status on a shortlist

Needs: Read and change

In Harbour Apartment, mark the Lámina pendant, the Osa Dining Chair and the Bay sofa as shortlisted.

Status runs from saved to shortlisted, ordered, delivered and installed. You see the change before it's made.

10. Check spend against the project budget

Needs: Read only

How is the Harbour Apartment budget looking? Show the total against the budget, and list anything still not ordered.

Aalto holds one budget per collection and doesn't split it into room allowances. The total is quantity times price for every product in the collection, whatever its status, in the budget's currency. Products in other currencies or without a price are left out, and Claude tells you how many. If the project shows tax, the total follows the project's budget setting, before or after tax, and Claude tells you which.

Prep before you share with a client

11. Find gaps before a client sees the board

Needs: Read only

Check the Harbour Apartment Living Room for products missing a price, an image or a supplier link, and list them for me. Use the detailed product view, or detailed collection context, so you can see full images and supplier links, not just thumbnails.

Claude reads what Aalto has stored in your library. It does not scrape the supplier site live. Ask for the detailed product view or detailed collection context so it can see price, image and supplier link. The shorter collection view only shows price and a thumbnail. Products saved without a scrape can still come back blank even when the supplier page has those details. Fix the gaps in Aalto, then share the board from Aalto. Claude can't share or publish a board. Organise first. Once a collection is shared by link or published, Claude can't add products to it or move products out of it.

Export a schedule

12. Export an FF&E schedule with tax

Needs: Read only

Export the Harbour Apartment collection as a PDF with prices before and after tax.

Claude sends back a download link that works for 15 minutes. CSV works on any plan in Aalto, and Excel and PDF are on Pro. Tax columns use your workspace tax region, set in Settings. If the export comes back with no tax columns, set a tax region in Aalto and ask again.

What Claude can't do with Aalto

• Delete anything. It never deletes products or collections. Do that in Aalto.
• Share or publish. It can't share a board, publish one, or change who can see it. It also can't add to or move out of a collection that is already shared by link or published.
• Check live supplier prices. Claude reads the price Aalto has on record. Aalto records the price when you save a product, and while you're working on a project it rechecks shortlisted and ordered pieces each week. Refresh a product in Aalto before you quote if the price matters.
• See payment details. It never sees your payment details or sharing settings. It can see your plan name, its limits and how many AI product imports you've used.
• Change settings. It reads your tax region but can't change it.

Every action Claude takes is logged in Aalto under Settings, then MCP, where you can see what changed and undo it.

Tips for better answers

• Use the exact collection name. "The Harbour Apartment collection" works better than "the apartment stuff".
• Say the format. CSV, Excel or PDF, and whether you want prices before tax, after tax or both. For gap checks, ask for the detailed product view or detailed collection context so Claude can see supplier links and full images.
• Ask for a list first when you're unsure. Tag, field, status and spreadsheet changes come back as a preview. Moves and adds don't, so ask Claude to list the products before it acts.
• Keep links on product pages. Paste the page for the exact product and finish, not a category page.
